Hi all,

Well we finalized the contract (21 pages) and now we’re ready to start the process.

For those of you who want to come a day early we have great room rates at $44.95 for Thurs. I talked to the casino this morning and they informed me that the reservation code probably won’t be active until Monday (Apr. 28).   So let’s give them until Monday before you start to book the rooms. 

 Now, since we got off to a late start we really need to start collecting the fees as soon as possible. You can send the fees to: Robert Salinas c/o Albrook reunion, $85.00 per person. The cut off date for the fees is July 19^th.  We are also working to set up a credit card payment system on our website, when/if it becomes available we will notify you. 

 Ed Garza, an Albrook connection, was able to set up a 5% off discount if you use American Airlines, see his message below.

Airline reservations:

 I have been able to secure a discount with American Airlines for 5% off of your best booked fare for reservations booked and purchased thru either the AA number at 800-433-1790 (Meeting Services, will incur a charge) or

 By using AA.com on the web (No additional charge).

Remember, If you use AA.COM there is not a charge for setting up the reservation just be sure to use the AUTH. NUMBER below when you are booking it for the discount.

GUEST ROOM/SUITE RATES 

Hotel extends and guarantees the following room/suite rates, per room, per night, single or double occupancy.

 These special group rates apply to ten (10) rooms or more.  In the event group requirements drop below ten (10) rooms, the group will be subject to prevailing rack rates at the time of arrival.  Additional rooms required above the group block are subject to availability and prevailing rates at the time the request is made. 

Rates are quoted for one (1) or two (2) adults in a room, per night. The additional person charge is $12.00 per person for adults 18 years and older, per night (plus tax), with a maximum of 4 persons in a room.

 RESERVATION PROCEDURE

 Telephone Reservations

 Reservations will be telephoned directly to Hotel Reservation Department at (800-634-3450 option 1).  In order to receive the group rate, callers must identify their affiliation with Albrook Family Reunion, Group Code B08ALB.  Rates cannot be changed at check-in or check-out for guests who fail to identify their affiliation at the time the reservation is made.

 Individual deposits: It is attendee’s responsibility to submit a credit card number, or a deposit equal to one (1) night’s room/suite rate, plus tax as a guarantee, at the time the attendee makes the reservation. Attendee’s credit card will be charged the one (1) night’s room/suite rate plus tax at that time.  Room reservations not guaranteed will be automatically canceled by Hotel within seven (7) days of the reservation date.  Hotel must receive written authorization from Meeting Group in order to confirm transfer of room deposits or attendee’s name changes.  Refunds will be issued on individual attendee’s reservations canceled at least forty-eight (48) hours in advance of the confirmed arrival date.  All guaranteed reservations will be held until 6:00 a.m. on the day after attendee’s confirmed arrival date.  Attendees must pay the balance of all room, tax and incidental charges upon check-out.  It is the responsibility of Meeting Group to advise attendees of the deposit and refund policy in all promotional literature.

CUT-OFF DATE

 The cut-off date is the last day that Hotel will accept guest room/suite reservations for Meeting Group’s program.  The cut-off date is July 15, 2008.  Reservation requests received after the cut-off date will be accepted by Hotel at a space and rate availability basis only, not to exceed Meeting Group’s guest room/suite allocation as set forth in Section 1.  If the group room/suite rate is not available after the cut-off date, the prevailing hotel retail room/suite rates will apply for any reservations confirmed by Meeting Group or attendees after the cut-off date. All surplus rooms/suites will revert back to Hotel for general sales after the cut-off date.
